SS. Cyril and Methodius Athletic Program PROTOCOL FOR VISITORS ATTENDING AN ATHLETIC COMMISSION MEETINGAthletic Commission meetings, other than those held in executive session, are open only to parishioners and invited guests of the Athletic Commission. The dates and times are announced in the school's monthly calendar and the church bulletin. The primary responsibility of the Athletic Commission is to provide a comprehensive and quality athletic program for the students of SS. Cyril and Methodius School. All Athletic Commission decisions will be motivated by and based upon what is most beneficial to the welfare of the athletic program as it applies to the students. To reach its objectives the Athletic Commission will work with the pastor and the school principal, and be open to the views of the parishioners, but will be ever mindful that the good of the school children is of the utmost importance. With this objective in mind, a time slot will be stipulated on the agenda to allow visitors to address the board. Visitors can only address matters on the agenda. If you wish to have a topic added to the agenda the item must be submitted in writing to the Athletic Director at least one week prior to the published date of the meeting. The Athletic Director then conveys your request to the school administration. The Athletic Director or delegate will be in contact with the parishioner prior to the meeting to determine the suitability of the agenda item and the agenda time constraints. That is, does the item fall within the requirements and guidelines set by the Chicago Archdiocese for issues that fall under the administration of the Athletic Commission, and is there time available on the agenda or will the request be scheduled for a subsequent meeting. It is the policy of the Chicago Archdiocese that personnel issues, grievances and individual family or child’s needs are not discussed.
VISITORS PROTOCOL Visitors may observe the Athletic Commission while it is in session. All visitors shall sign in and identify themselves. Visitors may not engage in the discussion nor actively participate in the agenda either through comments or by offering their opinions on the topic being discussed. Comments may be made at the time indicated on the agenda. Once the visitor is recognized, the visitor has one opportunity to express an opinion on the matter at hand. Each individual may speak for up to 3 minutes on matters that concern the Athletic Commission. There will be no discussion or debate between the visitors and the Athletic Commission members. All Athletic Commission members will listen to the visitors. The Athletic Director will assure the visitor that the Athletic Commission will take the matter under consideration. If appropriate to the parameters of the Athletic Commission’s responsibilities, the issue may be addressed by the board at a future time. Ordinarily, the visitor's comments are related to the matters considered on the agenda. Questions of a general nature, however, may be referred to the appropriate person, e.g., school administration.
